  1. 01.

    Tell us about the payroll

    Email Info@varientnote.co.uk with the number of people paid, pay frequency, existing arrangements and the tasks you want covered. Please do not email employee bank details, National Insurance numbers or payslips with an initial enquiry.
  2. 02.

    Agree scope and fees

    We set out the tasks, fee basis, pay-run schedule, approval contacts, information cut-off and any additional charges in writing. The agreement also identifies which party makes submissions and how payroll information is exchanged.
  3. 03.

    Set up the records

    The client supplies the employer and employee information needed for the agreed service through the agreed method. We review the records required for the first run and raise gaps with the authorised contact.
  4. 04.

    Submit and approve pay information

    The client's authorised contact supplies rates, hours, new starters, leavers and other changes by the agreed cut-off. We calculate the pay run and send the summary for approval. The client checks the figures and confirms any corrections before finalisation.
  5. 05.

    Finalise the run

    After approval, we produce the agreed payslips and reports and complete any authorised HMRC or pension data submissions. The client funds and arranges payments to its workers, HMRC and pension provider according to the agreed payment process.
  6. 06.

    Handle queries and changes

    Payroll queries and corrections are managed through the client's authorised contact. The agreement states what is included in the regular service and how an extra run or retrospective correction is priced.
